What It's Actually Like to Work With a Branding Studio: Our Process From Discovery to Launch

You've decided to hire a professional for your brand and website. Now comes the part nobody explains well: what actually happens next. How many calls will there be? How much of your time does this eat up? Will you get to see options, or just get told what your brand "is"?
This post is that explanation, not the polished "we collaborate closely with you!" version. The real one, phase by phase, including the parts that take work on your end. Here’s the exact process of working with a branding agency for small businesses from start to finish.
Before Anything Starts: Booking and Onboarding
Once you book a project with us, you're not immediately thrown into strategy calls. First comes a short onboarding period (usually a week or so) where we send over our extensive onboarding kit, a contract, an invoice for the first payment, and a project timeline with real dates on it.
You'll also get a project management portal set up in Asana (this is where all communication, files, and approvals live for the rest of the project, so no digging through email threads later). We ask that you set aside a little time here to get familiar with it, because it's where you'll be working alongside us for the next several weeks.

Discovery & Strategy: The Homework Phase
This is the part people underestimate. Good branding isn't a designer guessing what looks nice: it's built on specific answers about your business, and getting those answers is your job as much as ours.
Expect a detailed brand questionnaire with 30+ questions before your kick off, strategy call. It's long on purpose. Questions like:
Who is your ideal client, specifically, not "everyone who needs therapy," but the actual person?
What do people misunderstand about your business before they work with you?
What brands (in or outside your industry) do you admire, and why?
What has to feel true in every piece of communication you send?
Then we get on a call and talk through your answers, dig into anything vague, and usually uncover a few things you hadn't articulated yet. This is where positioning, tone of voice, and the strategic backbone of your brand actually get decided, before a single visual is designed.
Plan on 2–3 hours of your time total for this phase, spread across the questionnaire and the call.

Concept & Direction: Seeing Your Brand for the First Time
This is the moment clients are usually most anxious about, so let's be direct: you will not get five random logo options to pick from. Based on strategy, we develop one strong creative direction (a moodboard, initial logo concepts, color palette, and typography) and present it to you as a cohesive story, not a grab bag.
Presenting one direction (rather than three watered-down ones) is deliberate. It means every option we show you is one we actually believe in, backed by the strategy work you just did together. It also means your feedback at this stage matters enormously: this is where you tell us what's landing and what isn't, in detail.
If the first direction genuinely misses the mark, that's what revisions are for (see below). It happens less often than clients expect, precisely because of how much groundwork the discovery phase does.

Design & Build: Where Everything Comes Together
Once the identity direction is approved, we move into full production: logo suite, brand guidelines, and, if it's part of your package, your Squarespace, Shopify, or Showit website design and email marketing setup in Klaviyo or Flodesk.
If you've bundled services, they're built to work together rather than in silos: your website's visual system flows directly from your new brand identity, and your welcome email flow is written in the same voice and dressed in the same design language as your site. You won't get a beautiful brand and then a website that feels like it was designed by someone else.
Your role here shifts. Instead of open-ended feedback, you're reviewing specific deliverables (page layouts, copy placement, email flows), usually on a set schedule so the project keeps moving. This is also when we'll ask you for content we can't generate for you: photos, testimonials, service descriptions, any copy you want to write yourself.
Revisions: How Many Rounds, and What They're Actually For
Every project includes a set number of revision rounds, typically 2 (the exact number depends on your package, we'll tell you upfront, and it's in your contract). Revisions aren't a chance to start over; they're for refining a direction that's already working.
A few things that make this phase smoother:
Consolidate your feedback. One clear round of notes moves faster than five scattered messages over a week.
Say what's not working, not just what to change. "This feels too corporate for us" helps us more than "make the blue darker."
Loop in every decision-maker before you submit feedback, not after. Conflicting notes from two people at different stages is the single biggest thing that slows a project down.
If you're unsure whether something is a revision-round issue or a quick fix, ask. We'd rather clarify than have you spend a round on something small.
Launch & Beyond: What Happens After You Go Live

Launch day itself is usually quiet on your end: we handle the technical rollout of your new site and brand assets. What matters more is what comes before and after it.
Before launch, we do a full walkthrough of your new website and brand files together, so you know how to update things yourself if you want to. After launch, you own your files (logo files, brand guidelines, website) completely. This isn't a "pay us monthly to access your own logo" situation.
We also offer ongoing support after launch for clients who want it, whether that's website maintenance, email marketing management, or continued design work as your business grows. It's optional, not a requirement to keep your assets working.
Frequently Asked Questions
How many revision rounds do I actually get?
It depends on your specific package, and the number is spelled out in your proposal and contract before the project starts, so there's no ambiguity. Most full branding and web projects include 2 structured rounds across the identity and design phases, enough to refine the work properly without the project dragging on indefinitely.
What if I don't like the first design direction?
It's rare, because the discovery phase is built specifically to prevent it, but it does happen. If the initial direction genuinely isn't resonating, we talk through why, revisit the strategy if needed, and use a revision round to shift direction rather than just tweaking details. This is exactly what those rounds exist for.
How much of my own time does this actually take?
More than a completely hands-off vendor, less than doing it yourself. Expect real time investment during discovery (the questionnaire and call) and during content gathering (photos, copy, testimonials), plus focused check-ins during revisions. The design and build work itself is on us.
Do I own my logo and website files after the project ends?
Yes. Once the project is complete and paid in full, the brand files and website are yours. Any ongoing support or maintenance we offer afterward is optional, not something required to access or use what you paid for.
How long does a full branding and website project take?
A typical full branding and web project runs about 6–12 weeks from kickoff to launch, depending on scope, how quickly feedback comes back, and whether email marketing is bundled in. Projects move fastest when feedback rounds stay on schedule on both sides.
